Backline closes the books for restaurant stores each pay period. This page says what it keeps, why, and who sees it.

What Backline keeps

  • Your account: your name, email address, a salted hash of your password (never the password itself), and which stores you can open.
  • Each store's close: the reports a store uploads (daily sales, vendor invoices, timeclock and roster exports, payroll summaries and registers, bank and profit and loss exports) and what Backline works out from them: journals, bills, labor figures and checks.
  • QuickBooks, when a store's owner connects it: the tokens Intuit issues so Backline can post to that one QuickBooks company, and the company's ID and name. Backline reads the store's accounts, vendors, customers, employees, bills, expenses, journal entries and profit and loss report. It uses them only to post that store's close and to check it. Backline never sees your QuickBooks password.

What it's used for

Only to run each store's close for the people that store has let in. Backline doesn't sell or rent data, doesn't show ads, and doesn't use a store's figures for anything but that store.

Who sees it

  • The people a store's owner invites, with the access the owner gives them.
  • Anyone holding a share link the owner made. Owners can revoke those links at any time.
  • Service providers Backline runs on: email delivery (Resend) for invites and for bills a store chooses to email to QuickBooks, and Intuit for QuickBooks. When a store turns on Jev's suggestions, vendor and employee names may be sent to an AI model to suggest matches. Amounts, hours, pay and bank details are never sent to it.

Keeping it and removing it

A store's data is kept while the store uses Backline. An owner can disconnect QuickBooks at any time from the store's Settings, which deletes Backline's QuickBooks tokens, and can also disconnect Backline from inside QuickBooks. To have a store's data deleted, ask through the request form on the home page.

Security

Backline is served over HTTPS only. Sign-in cookies are HTTP-only, and every change must come from Backline's own pages. Each store's books sit in their own database.
